We’ve put together a few tips to help you get there.
Upstream of the Forum
Because success takes preparation & can't be improvised
- Communicate about your presence at the Forum: social networks, website, customer emails, prospects, partners, suppliers, email signatures.
- Download the communication kit available in your exhibitor area.
- Make business appointments on the Forum: now’s the time. The Forum’s business meetings module offers you this networking service: take advantage of it!
- Use e-invitations to invite your customers, prospects and partners.
- Print your communication tools: brochures, catalogs, business cards, posters, roll-ups, panels…
- If you’d like to organize an event during the Forum, please confirm the possibility with your sales manager, so that we can include it in our communication materials. Then share them with others.
- Take a look at our communication solutions in your stand reservation request. You’re sure to find one that suits your needs, or contact us for a customized offer.
- Plan to have enough staff on your stand for shifts (plan ahead if necessary).
- Prepare badges for stand staff and brief them before they arrive.
- Book transport and accommodation if necessary (see practical information here).
- Think about the organization of your stand: furniture, decoration, communication, presentation of your products/services, work space, storage…
- Check that the technical rules are in line with your stand (all useful information on the exhibitor manual here).
- Create a backlog of tasks with deadlines, so you don’t forget anything and are ready for the big day.
During the Forum

- Plan to have at least one person on the stand from the time the Forum opens in the morning until it closes in the evening. Always have someone on your stand, or risk missing a contact.
- Be dynamic and a good listener.
- Take time to visit the Forum: general atmosphere, meeting potential suppliers or partners, overview of market trends, competitive intelligence… The Forum is a mine of information!
- Debrief with your team at the end of the day. Points for improvement, problems encountered (logistics, lack of information…), positive points: orders planned, partners or key accounts met…
The advantages of your stand
- Aesthetic, welcoming, clean and tidy: every morning, check that your stand is clean, tidy and ready to welcome new visitors, with enough communication tools on hand. In the evening, store your belongings in the storeroom or closet. Take valuables with you (PC…)
- The information is clear: your name, your activity, your product/service, your target, your added value.
- A screen can show your corporate film, the video of your factory, your offices, your know-how. No sound is available (so as not to add to the ambient noise), but don’t forget to use subtitles if necessary – visitors will appreciate them.

- Create a workshop/advice area for visitors.
After Forum

PERFECT FOLLOW-UP of customer relations
- Collect all exchanged business cards and sort them (prospects, customers, suppliers, partners…).
Save them in your CRM or sales management tool. - Send all your contacts an email thanking them for their visit (within 2 days maximum).
- Ensure rapid response (within 5 days maximum) to their requests. If you don’t,your competitors will.
